What is Line Listing?

One Row Per Event

Every form submission from the Android Capture app appears as its own row — like a live spreadsheet of all collected data.

Using Line Listing

Build a table from any programme's event data in under 2 minutes

Step-by-Step — Build a Line List

Open the Line Listing App

From the DHIS2 home page click ⋮⋮⋮ AppsLine Listing. A blank canvas opens with a left-hand panel.

Set the Input — Programme & Stage

Left panel → Input → choose Event → select a programme (e.g. FP Simulation HFs) → select its stage. This tells the app which form's data to show.

Add Columns

Left panel → Columns → search for fields (e.g. Event date, Organisation unit, Stored by, or any data element). Double-click each to add it as a column.

Set Period & Org Unit Filter

Left panel → Filter → set Period (e.g. Last 3 months) and Organisation unit (facility, district, or User org unit). Click Update.

View & Sort the Table

The table loads with one row per event. Click any column header to sort. Use the search box above a column to filter by that field's value.

Tip: Add Organisation unit and Stored by as early columns — lets you quickly see which facility and which field worker submitted each record.

Columns & Filter Options

📋 Recommended Columns

  • Event date — when the form was submitted
  • Organisation unit — which facility or ward
  • Stored by — which user entered the data
  • Last updated — when it was last edited
  • Status — Active or Completed
  • Any data element from the programme form

🔍 Filter Options

  • Period → Relative — Last month, Last 3 months, This year
  • Org unit → Level — view all facilities in a district at once
  • Org unit → User org unit — auto-scopes to the viewer's assigned facilities
  • Data element value — show only rows matching a specific answer
  • Multiple filters combine as AND conditions
Note: Users only see records from org units they have data view access to. If a colleague can't see certain rows, check their org unit assignment.

Save & Dashboard

Save your line list and pin it to a dashboard for the whole team

Save as a Favourite

Save the Line List

Click File → Save (top menu bar). Give it a clear name, e.g. "FP Simulation – Karnali – Last 3 Months". Click Save.

Reopen Later

Click File → Open to see all your saved line lists. Share the name with colleagues — they can open the same saved list if they have access.

Update & Re-save

If you need to change columns or filters, open the saved list, make edits, then click File → Save again to overwrite — or Save as to keep both versions.

Important: You must save the line list as a favourite before you can add it to a dashboard. The dashboard links to the saved favourite, not a temporary view.

Add Line List to Dashboard

Open the Dashboard App

Click ⋮⋮⋮ AppsDashboard. Open the dashboard you want to add the line list to (or create a new one with +).

Click Edit

Click the pencil ✏️ Edit button (top-right of the dashboard). The dashboard enters edit mode with a toolbar at the top.

Add an Item

In the edit toolbar click Add items → in the search box, type the name of your saved line list → click on it to add it to the dashboard canvas.

Resize & Position

Drag the line list widget to where you want it. Drag the bottom-right corner to resize. Arrange other widgets around it as needed.

Save the Dashboard

Click Save changes in the top toolbar. The line list is now live on the dashboard and refreshes automatically with new data.

Share the Dashboard

Open Sharing Settings

In the Dashboard, click ⋮ (More options)Share. The sharing dialog opens.

Add User Groups

Search for a user group (e.g. Data Viewer Group) → set access to Can view. Repeat for each group that should see the dashboard.

🔒

Set Public Access

Keep Public access → No access unless you want all DHIS2 users to see it. For programme-specific dashboards, share only with the relevant groups.

Confirm & Close

Click Save. Users in the shared groups will now see the dashboard (including the live line list) when they log in to DHIS2.

Remember: Share the dashboard with the group. The line list inside it inherits the viewer's own org unit access — each user sees only the data they are authorised to view.

Export & Download Data

📥 How to Export

  • Open your saved line list in the Line Listing app
  • Click the Download ↓ button (top-right of the table)
  • Choose Excel (.xlsx) or CSV
  • The file downloads with all visible rows and columns
  • Use filters before downloading to limit to the exact data you need

📊 Good Export Practices

  • Always set a specific period before exporting — avoid exporting "all time"
  • Add Organisation unit and Event date columns so the export is self-explanatory
  • Do not share raw exports publicly — they may contain personal health data
  • For regular reporting, use the dashboard instead of repeated exports
Data privacy: Exports from programme data may contain sensitive information. Only share with authorised staff and store securely.
