What is Line Listing?
One Row Per Event
Every form submission from Android Capture appears as its own row — like a live spreadsheet of all collected data.
Filter & Search
Filter by org unit, date range, programme, or any field value to find exactly the records you need.
Export & Share
Download to Excel or CSV, or pin the list to a dashboard so your team always has a live view.
Step-by-Step: Build a Line List
- 1Open the Line Listing App: Apps ⋮⋮⋮ → Line Listing. A blank canvas opens with a left-hand panel.
- 2Set the Input — Programme & Stage: Left panel → Input → choose Event → select a programme (e.g. FP Simulation HFs) → select its stage. This tells the app which form's data to show.
- 3Add Columns: Left panel → Columns → search for fields (e.g. Event date, Organisation unit, Stored by, or any data element). Double-click each to add as a column.
- 4Set Period & Org Unit Filter: Left panel → Filter → set Period (e.g. Last 3 months) and Organisation unit (facility, district, or User org unit). Click Update.
- 5View & Sort the Table: Table loads with one row per event. Click any column header to sort. Use the search box above a column to filter by that field's value.

Columns & Filter Options
📋 Recommended Columns
- •Event date — when the form was submitted
- •Organisation unit — which facility or ward
- •Stored by — which user entered the data
- •Last updated — when it was last edited
- •Status — Active or Completed
- •Any data element — from the programme form
🔍 Filter Options
- •Period → Relative — Last month, Last 3 months, This year
- •Org unit → Level — view all facilities in a district at once
- •Org unit → User org unit — auto-scopes to the viewer's assigned facilities
- •Data element value — show only rows matching a specific answer
- •Multiple filters — combine as AND conditions
Save as a Favourite
Save the Line List
Click File → Save (top menu bar). Give it a clear name, e.g. "FP Simulation – Karnali – Last 3 Months". Click Save.
Reopen Later
Click File → Open to see all saved line lists. Share the name with colleagues — they can open the same saved list if they have access.
Update & Re-save
Open saved list, make edits, then File → Save again to overwrite — or Save as to keep both versions.
Add Line List to Dashboard
- 1Open the Dashboard App: Apps ⋮⋮⋮ → Dashboard. Open the dashboard you want to add the line list to (or create a new one with +).
- 2Click Edit: Click pencil ✏️ Edit button (top-right of dashboard). Dashboard enters edit mode with toolbar at top.
- 3Add an Item: In edit toolbar click Add items → in search box, type the name of your saved line list → click on it to add to the dashboard canvas.
- 4Resize & Position: Drag the line list widget to where you want. Drag the bottom-right corner to resize.
- 5Save the Dashboard: Click Save changes in the top toolbar. The line list is now live on the dashboard and refreshes automatically with new data.
Share the Dashboard
Open Sharing Settings
In Dashboard, click ⋮ (More options) → Share. Sharing dialog opens.
Add User Groups
Search for user group (e.g. Data Viewer Group) → set access to Can view. Repeat for each group.
Set Public Access
Keep Public access → No access unless you want all DHIS2 users to see it.
Confirm & Close
Click Save. Users in shared groups will see the dashboard when they log in.
Export & Download Data
📥 How to Export
- •Open saved line list in Line Listing app
- •Click the Download ↓ button (top-right of table)
- •Choose Excel (.xlsx) or CSV
- •File downloads with all visible rows and columns
- •Use filters before downloading to limit to exact data you need
📊 Good Export Practices
- •Always set a specific period before exporting — avoid exporting "all time"
- •Add Organisation unit and Event date columns so the export is self-explanatory
- •Do NOT share raw exports publicly — may contain personal health data
- •For regular reporting, use the dashboard instead of repeated exports
